Become the Secretary of the 38th Board

ACE’s Secretary is responsible for the written communication between the board, the association members, the former board members, other Associations, as well as third parties. The position entails approximately 24 - 30 hours of work a week.

The secretary is responsible for sending out invitations to the General Assemblies, as well as the documents that will be discussed during the GA. This year, we use MailChimp and WeTransfer for this. During the General Assemblies, the secretary must also take minutes of all that is said, verbatim, which must be done before the next GA.

The secretary is also responsible for sending out invitations to the Constitution Drinks, and the Dies Natalis of the Association. This is done my email and regular mail, as we also send cards designed by the Marketing manager.

Secondly, the secretary is responsible for the inbox which receives a wide range of queries from various parties, as well as event sign ups, member registration forms, and member registration requests. 

The secretary is responsible for inputting, updating and removing information from the member database in Microsoft Access. This must be done while respecting the Dutch and European legislation (namely the GDPR). The secretary regularly provides lists of contact details for various events, usually in Excel format.

Lastly, the secretary is in charge of producing a regular newsletter for the members of ACE to be kept up to date of the various events.

In addition to the Secretary specific duties, board responsibilities include overseeing 2 or more committees, attending ACE events the Constitution Drinks and Birthdays of brother and sister associations. So are you ready to be the secretary? If so, then go apply here.
